File Retention Policy

This page explains how long SastoHost stores website files, databases, and email data after a hosting plan expires, and when that data is permanently deleted.

Purpose Of This Policy

This policy explains how long SastoHost keeps website files, databases, and email data after a hosting plan expires, and what happens to that data when the retention period ends.

It works together with our Terms of Service, Refund Policy, and Fair Usage Policy, and applies to every hosting account we manage.

Who This Policy Covers

This policy covers all managed hosting services offered by SastoHost, including Cloud, WordPress, Node.js, Python, n8n, Appwrite, Supabase, and Minecraft hosting plans, along with email hosting accounts. This list is not exhaustive, and any new managed hosting or email service we add in the future is covered by this policy automatically.

VPS servers are not covered by this policy. A VPS is a customer-managed server, so we do not promise file retention for a VPS once it is removed or expires. VPS customers are responsible for keeping their own backups at all times.

While Your Hosting Plan Is Active

Your website files, databases, and email data are stored for the full length of the hosting term you purchased, as long as the account is used within our Fair Usage Policy.

You can download or export your data at any time through cPanel, the file manager, or your hosting panel, and you are always welcome to keep your own backup copies.

When Your Plan Expires

When a hosting plan reaches its expiry date without renewal, the hosting service is suspended. The website stops loading, email stops working, and cPanel or FTP access is closed.

Suspension does not delete anything. Your files, databases, and email data remain stored on our servers untouched, exactly as they were on the expiry date.

How Long We Keep Your Files After Expiry

After a plan expires without renewal, we keep the account data for a retention window equal to the length of the plan that was purchased, counted from the expiry date.

Monthly plans: files are kept for 1 month after the expiry date.

Annual (1-year) plans: files are kept for 1 year after the expiry date.

Triannual (3-year) plans: files are kept for 3 years after the expiry date.

Renewing at any point during the retention window reopens the same account with your website, databases, and email data restored as they were, so no rebuild is needed.

At The End Of The Retention Window

When the retention window ends without renewal, all files, databases, and email data connected to the account are permanently deleted from our servers.

This deletion is permanent and cannot be reversed. After removal, the data cannot be restored by our team or recovered in any way.

Internal Backups

SastoHost may keep internal copies of hosting accounts for disaster-recovery purposes. These backups are a courtesy and are not guaranteed. They may not exist or be restorable at any given time.

When an account is permanently deleted at the end of its retention window, our internal backups of that account are also removed.

You should always keep your own backup copies of your website files, databases, and email. Our backups are never a replacement for your own.

Saving Your Data Before Deletion

If your plan is about to expire, the easiest step is to download a full backup from cPanel or your hosting panel before the expiry date.

If your plan has already expired, the plan must be renewed to get your data back. Renewing during the retention window restores full access, and you can then download or export your files, databases, and email as normal, with help from our team if you need it.

For expired accounts that are not renewed, we do not provide file exports, copies of your data, or partial access. The files simply stay stored untouched until the end of the retention window, after which they are permanently deleted.

If you are unsure about your remaining time, contact us before the deletion date. Once the retention window ends, the data is gone for good.

Exceptions

The retention windows in this policy may be shortened or waived where an account is terminated for Terms of Service violations, abuse, spam, or illegal content.

We may also delete data earlier where required by law, regulation, or a valid legal request, or where technical circumstances require removal to protect the platform.

Anything not covered here follows our Terms of Service.

If your plan has already expired, remember that files are only provided after the plan is renewed. Without renewal, we cannot provide exports, copies, or access to your data — so always reach out before your plan expires.
